|There are a number of things to consider when communicating with others and depend on the communication channel being used. For example, if you are communicating by phone, it is important to speak clearly and loud enough for the receiver to hear what you are saying. Aside from using high-tech equipment, facial expressions cannot be seen via the telephone so the tone of your voice plays a large part in how the message is received. Recognize that emails may be quick and easy, but they can be impersonal.
It is important to be sensitive of the other individual’s knowledge level about the subject to which you are speaking. You may need to provide additional background information to familiarize the individual with the subject matter. Be sensitive of the individual’s feelings if you suspect the information you are relaying may upset him/her or be met with some resistance. Be aware of your own tone of voice when speaking to others. The same information can be interpreted differently depending on the way the individual relays it.
